Terms of Use

Article 1Effect

These terms and conditions shall set forth the necessary matters regarding the use of the Lifetime Email Address Service provided by Kyushu University.

Article 2Purpose

This service provided by the University is intended for those stipulated in Article 4 (alumni, etc.) and is intended to promote cooperation with alumni and alumni associations ,endowment activities and to strengthen the engagement of alumni throughout their lives through the dissemination of information from the University by issuing forwarding email addresses for lifetime use and distribution of email magazines, etc., to users (those who can use this service pursuant to Article 6, Paragraphs 5 through 12).
Those who receive forwarding email addresses and distribution of the mail magazine are called "Forwarding Service Members", and those who receive only distribution of the mail magazine are called "Mail Magazine Members".

Article 3Usage

1. The uses of a forwarding email address issued to a Forwarding Service Member under the Service shall be as follows.

  1. Forwarding to your preferred email address.
  2. Alumni and other users via email.
  3. Dissemination of information on the University and its affiliated organizations, etc., via email newsletters, etc., from the University.
  4. Surveys conducted by the University.
  5. Provision and operation of this service to users, including contacting users and responding to inquiries.
  6. Improvement of this service, development of new services, etc.
  7. Preventing the use of this service in a manner that violates the Terms of Service.
  8. Compliance with University regulations and legal obligations.
  9. Purposes incidental to the above purposes of use.

2. The uses of a forwarding email address issued to a Mail Magazine Member under the Service shall be as follows.

  1. Dissemination of information on the University and its affiliated organizations, etc., via email newsletters, etc., from the University.
  2. Surveys conducted by the University.
  3. Provision and operation of this service to users, including contacting users and responding to inquiries.
  4. Improvement of this service, development of new services, etc.
  5. Preventing the use of this service in a manner that violates the Terms of Service.
  6. Compliance with University regulations and legal obligations.
  7. Purposes incidental to the above purposes of use.

Article 4Eligibility for Use

The following persons shall be eligible to use this service.

  1. Forwarding Service Members

    ・Alumni (including current students)

    ・Faculty and staff (including professors emeritus and retirees)

    ・Other persons recognized by the University

  2. Mail Magazine Members

    ・Those who are interested in Kyushu University

Article 5Compliance with Rules and Regulations, etc.

Users shall be obligated to comply with the Terms and Conditions and Privacy Policy when using the Service.

Article 6Use of Services

  1. 1.When using the Service, users agree to make their own judgments regarding the reliability and accuracy of the content, and to use the Service at their own risk and responsibility.
  2. 2.In the event that the Service includes services or content provided by a third party other than the University, the third party is responsible for the services, etc. provided by the third party.
  3. 3.The Third-Party Provided Services, etc. stipulated in the preceding paragraph may be subject to the terms and conditions of use and other conditions stipulated by the third party that provides such services.
  4. 4.The person stipulated in Article 4 may apply to the University in the prescribed manner to use the Service upon agreeing to the Terms and Conditions and the Privacy Policy.
  5. 5. When the University receives a new application for registration of a Forwarding Service Member, the University shall determine whether the application is acceptable or not according to the specified method and notify the applicant of the result.
  6. 6.An applicant who has been notified of the availability of the service pursuant to the preceding paragraph may begin using the service.
  7. 7.Apart from the provisions of the preceding three paragraphs, in order to promote the use of the Service, the University may provisionally register some of the persons stipulated in Article 4 in a batch.
  8. 8.A person who has been notified of provisional registration pursuant to the preceding paragraph may be officially registered and begin using the service by agreeing to the Terms and Conditions and Privacy Policy.
  9. 9. A Forwarding Service Member may set up to three forwarding destinations, and may add or change forwarding destinations and other registered information at any time.
  10. 10. When the University receives an application for new registration as a mail magazine member, it will notify the applicant of the registration by the prescribed method.
  11. 11. An applicant who has been notified of the availability of the service pursuant to the preceding paragraph may begin using the service.
  12. 12. Apart from the provisions of Clause 4 and the preceding two clauses, the University may register a part of the persons stipulated in Article 4 as mail magazine members in a lump sum in order to promote the use of this service.
  13. 13. Forwarding service members will receive email newsletters from the University as long as the forwarding address is valid, until their registration as a user is terminated.
  14. 14. Mail magazine members will receive the mail magazine from the University as long as the email address set is valid, until the registration as a user is cancelled.
  15. 15. In principle, users, applicants, and inquirers shall use the dedicated website for procedures and inquiries related to this service.
  16. 16. In principle, users shall receive notifications and inquiries concerning the Service by e-mail.

Article 7Unsubscribe

  1. 1. Users may cancel their registration as a user if they do not wish to use the Service for any reason.
  2. 2. The University may suspend mail forwarding and distribution of the mail magazine if all forwarding addresses set by the Forwarding Service Member are found to be invalid, and may terminate the registration as a user if the forwarding address remains invalid for a certain period of time.
  3. 3. The University may suspend the distribution of the e-mail magazine if it is confirmed that the e-mail address set by the e-mail magazine member is invalid, and may terminate the registration as a user if the e-mail magazine remains invalid for a certain period of time.

Article 8Prohibited Items

In using the Service, Users shall not engage in any of the following acts.

  1. Statements that may damage the privacy of others or offend public order and morals.
  2. Use or provision of computer viruses or other harmful programs.
  3. Criminal acts listed in the following (a) through (g) against third parties using information and communications.

    (a) Slander

    (b) Stalking

    (c) Harassment

    (d) Excessively offensive behavior

    (e) Leaking of secrets

    (f) Copying, selling or exchanging commercial software

    (g) Illegal acts such as infringement of a third party's copyright

  4. Disclosure of personal information without the consent of the individual, defamation, transmission or dissemination of false information, and impersonation of another person.
  5. Intercepting the contents of communications between third parties.
  6. Making the services available to third parties.
  7. Use of this service for commercial purposes or political activities, etc.
  8. Infringement of the contents of this service or alteration or deletion of information.
  9. Other acts that violate laws and regulations, acts that may interfere with this service, or acts that the University deems inappropriate.

Article 9Prohibition and Suspension of Use

If a User falls under any of the items of the preceding Article, the University may, without prior notice to said User, restrict the use of all or part of the Service, or terminate said User's registration as a User.

Article 10Personal Information

  1. 1.Personal information collected by the University to provide this service shall be used for the purposes specified in Article 3.
  2. 2.The University may disclose or provide information such as email addresses, usage history, and email content of Users, etc. to the University, subcontractors, and persons other than Users, if any of the following items apply.
  1. When the consent of the user has been obtained in advance.
  2. When there is a request for disclosure based on laws and regulations.
  3. When there is an illegal act such as unauthorized access or threats.
  4. When there are other special reasons.

Article 11Usage Fees

Use of the Service shall be free of charge. However, the user shall bear the communication and other charges associated with the use of the service.

Article 12Intellectual Property Rights

Copyrights and other intellectual property rights related to information (video, audio, text, photographs, software, etc.) provided by the University through this service shall belong to the University, unless otherwise specified.

Article 13Suspension or Discontinuance of Service, etc.

The University may suspend or discontinue the Service without prior notice for any of the following reasons.

  1. In the event of overload or failure of the server of this service due to excessive access or other factors.
  2. When performing maintenance inspections or updating of computer systems related to this service.
  3. Other cases in which the University deems it difficult to provide this service.

Article 14Change or termination of service

The University may change the Service and terminate all or part of the Service without prior notice.

Article 15Liability for Use and Disclaimer of Liability

  1. 1.Users shall take appropriate measures to store and handle email addresses, IDs, passwords, etc., and the University shall not be liable for any disadvantage or damage caused by misuse of these by a third party, or for any disadvantage or damage caused to users through the use of this service.
  2. 2.In the event that a third party makes a claim, etc. about a mail magazine posting by a user, etc., the user, etc. shall be responsible for responding to the claim, etc. on his/her own.
  3. 3.The Service is provided on an "AS IS" basis and is not guaranteed to be fit for any particular purpose of the user.
  4. 4.Due to the nature of email, the Service does not guarantee that forwarded emails to users will reach them reliably.
  5. 5.The University shall not be liable for any damage caused by late or undeliverable forwarded mail, or by spam judgment or rejection of forwarded mail by the forwarding mail service.
  6. 6.The University shall not be liable for any damages incurred by users due to interruption, suspension, modification, termination, or suspension of use of this service for any reason whatsoever.

Article 16Handling of Member Registration Information

The University may use the user's registration information to provide all users with information and notifications regarding the University's services.

Article 17Compensation for Damages

If any person, including the user, causes damage to the University by using this service in violation of these Terms of Use or laws and regulations, the University may claim compensation from that person and any other persons involved.

Article 18Modification of Terms and Conditions

  1. 1.The University reserves the right to change these Terms and Conditions without notice to the User, and the latest version of these Terms and Conditions shall apply at all times.
  2. 2.Notwithstanding the provisions of the preceding paragraph, in the event of a change that is fundamental to the services that users receive and in which users may be disadvantaged, the Terms of Use shall be changed after notifying users in advance on the dedicated website for this service.

Article 19Revised and Repealed

Revision or abolition of these Rules and Regulations shall be made by resolution of the Lifetime Mail Steering Committee.

Article 20Governing Law and Jurisdiction

  1. 1.These Terms and Conditions shall be governed by and construed in accordance with the laws of Japan.
  2. 2.Users agree to submit to the exclusive jurisdiction of the Fukuoka District Court as the court of first instance for any and all disputes arising out of or related to these Terms of Use.

Article 21Miscellaneous

Matters not provided for in these Rules and Regulations shall be decided at the meeting.

Supplementary Provisions
These Rules and Regulations shall come into effect on March 30, 2023.
